# Setting Up & Managing Your Account

Step-by-step instructions to create and configure your Doowii account for immediate use.

Getting started with Doowii is simple. This guide will help you set up your account and manage your settings effectively.

#### Initial Setup <a href="#initial-setup-1" id="initial-setup-1"></a>

When you receive your account invitation email:

1. Open the Doowii Invitation Email: Look for an email from Doowii in your inbox
2. Click the Setup Link: Follow the link provided to begin the setup process
3. Create Your Password: Choose a secure password for your account
4. Enter Your First and Last Name: Fill in your personal details as prompted
5. Complete Setup: Confirm your information to finalize the account creation

#### Manage Your Account Settings <a href="#manage-your-account-settings-4" id="manage-your-account-settings-4"></a>

Access your account settings anytime by clicking the settings dropdown menu in the top-right corner of the platform. Here, you can:

* Edit your First and Last Name
* View your Account Email associated with your account
* View your Assigned Organization to which your account is linked
* Request a Password Reset
* Delete Your Account to permanently remove your account, if needed

# Asking Your First Question

Welcome to the core of Doowii’s powerful analytics platform! Asking your first question is easy and straightforward, and the more questions you ask the better you understand how to get valuable insights that can elevate your work.

#### How to Ask a Question <a href="#how-to-ask-a-question-1" id="how-to-ask-a-question-1"></a>

You can start a new question thread in two ways:

1. Ask a question from the home page:
   * Navigate to the Home Page
   * Click on the central dialogue box that says “Message Doowii”
   * Type your question in natural language
   * Press Enter or click the Submit button
   * A new page will open with your results; most results are generated in 10-15 seconds, but may take longer depending on the question complexity and quantity of data being retrieved
2. Select a Suggested Question:
   * Below the dialogue box, you’ll find a list of generated data questions, relevant to your account and the available data
   * Click on a question to immediately submit the question, or refresh for more suggestions

3. Include Filtering Details
   * Specify filters like class, course, instructor, year, etc.
   * Example: Instead of “How many are enrolled?”, ask “How many are enrolled in chemistry next semester?”
4. Use Clear and Concise Language
   * Keep your questions straightforward. Clarify any potentially ambiguous terms or metrics where needed.
   * Doowii’s knowledge graph is updated to your institution as your team submits questions; clarifying key terms helps ensure accuracy and consistency.
5. Ask One Question at a Time
   * To improve accuracy and response times, avoid compound or run-on sentences with multiple sub-questions. Break down complex questions into separate ones.
6. Utilize Comparative Phrases
   * Phrases like “compare,” “trend,” or “change over time” can yield insightful results.

After asking a question in Doowii, a typical response will include:

* **Summary**: A brief and specific response overview addressing your question and the resulting data query.
* **Methodology**: Details on how the data was processed, any filters applied, and any assumptions made.
* **Data Visualization**: The data table or chart displaying the data results.

You can refine and filter your results by asking followup questions, or using one of the generated follow-up questions.

* Review the summary, the data, and the reported methodology.&#x20;

Visualizing your data helps you see and understand trends, and communicate insights effectively. Doowii provides flexible options for creating charts and graphs based on your questions.

### 1. Accessing the Chart Builder

You can access the Chart Builder in two locations:

1. **From a Question Thread**: From the thread view, above the data results, select the Chart Builder icon.
2. **From a Pinboard**: Open any pinboard where you have edit access, select the pin you’d like to update, and select the Chart Builder icon.&#x20;

### 2. Using the Chart Builder

Once opened, the Chart Builder appears as a pop-up editing window. You’ll see:

Visualizations aren’t just about making your data look good—they’re about helping you see patterns, compare outcomes, and communicate insights clearly. The right chart type can turn a good question into a powerful decision-making tool.

Each chart type has its own strengths, and Doowii’s Chart Builder gives you full control over what you show and how you show it. Expand a chart type below to get started.

<summary><strong>Bar Chart</strong> </summary>

**What is it and when to use it?**

* A bar chart displays data using rectangular bars to compare values across categories. Bar charts are best used for comparing discrete categories or groups, showing rankings,  illustrating frequency distributions, or otherwise visualizing non-continuous data. Use a bar chart to compare groups, such as the count of students by department or the average score by term.

1. Once you have your data results, open the Chart Builder (click the gear icon).
2. On the data tab, select the data you want to visualize:
   * Category = the grouping dimension (e.g., Department, Grade Level)
   * Breakdown (optional) = a second grouping (e.g., Gender)
   * Series = the numeric value (e.g., Average Score, Count of Students)
3. On the right, choose the Bar Chart icon from the chart type options.
4. Additional optional steps to refine your chart:&#x20;
   1. Use the Data tab to apply filters to the chart or apply a category order
   2. Use the Data tab to adjust the aggregation of the series (Sum, Min, Max, Mean, etc.).
   3. Use the Customize tab to change the chart title, axis labels, legend, and tooltips
5. Click Save Chart to apply your changes.

1. Limit the number of bars to increase readability–stick to 10 or fewer categories.&#x20;
2. Sort bars logically (ascending or descending order) to make comparisons easier.

<summary><strong>Pie Chart</strong></summary>

**What is it and when to use it?**

* A pie chart shows the parts of a whole, divided into slices. Pie charts are best used to visualize data where you want to show the proportions or percentages of parts within a whole, especially when the whole is divided into a small number of categories, and are helpful for highlighting which parts contribute the most to the total. Use a pie chart to show proportions, like how enrollment is distributed across programs.

1. Once you have your data results, open the Chart Builder (click the gear icon).
2. On the data tab, select the data you want to visualize:
   * Category = the grouping dimension (e.g., Department, Grade Level)
   * Series = the numeric value to summarize (e.g., Count of Students)
   * Pie Charts do not use a breakdown or multiple series — they’re best for single-category summaries
   * Note, Pie Charts represent data as percentages of the whole
3. On the right, choose the Pie Chart icon from the chart type options. &#x20;
4. Additional optional steps to refine your chart:&#x20;
   1. Use the Data tab to apply filters to the chart
   2. Use the Data tab to adjust the aggregation of the series (Sum, Min, Max, Mean, etc.)
   3. Use the Customize tab to change the chart title, axis labels, legend, tooltips, and Pie Chart specific configurations including the inner size (for donut chart), the start angle, and the end angle
5. Click Save Chart to apply your changes.

1. Use pie charts when showing parts of a whole—avoid if your values don’t (or shouldn't) add up to 100%.
2. Limit the number of slices to 3-5 to maintain clarity and readability.&#x20;

<summary><strong>Line Graph</strong></summary>

**What is it and when to use it?**

* A line graph connects points to show changes over time or continuous data. A line graph is best used to visualize data that changes over time, or with another continuous variable, and is effective for showing trends, comparing multiple data series, and highlighting changes in values over time. Use a line graph to visualize trends in your institution, such as student FTE growth or average student performance over time.

1. Once you have your data results, open the Chart Builder (click the gear icon).
2. On the data tab, select the data you want to visualize:
   * Category = the time-based dimension (e.g., months, terms, start dates, weeks, other date fields)
   * Breakdown (optional) = subgroups to be compared (e.g., schools, programs, etc.)
   * Series = the numeric value to visualize over time (e.g., Count of Students)
3. On the right, choose the Line Graph icon from the chart type options. &#x20;
4. Additional optional steps to refine your chart:&#x20;
   1. Use the Data tab to apply filters to the chart
   2. Use the Data tab to adjust the aggregation of the series (Sum, Min, Max, Mean, etc.)
   3. Use the Customize tab to change the chart title, axis labels, legend, and tooltips
5. Click Save Chart to apply your changes.

1. Use a time-based field for the x-axis to preserve and accurately represent the  flow of data.
2. Limit the number of breakdowns to 2-4 groups to keep trends clear.

<summary><strong>Scatter Plot</strong></summary>

**What is it and when to use it?**

* A scatter plot shows the relationship between two numeric variables. Scatter Plots help identify correlations (positive, negative, or none) and patterns in data between two variables. It's a good choice when you want to see how changes in one variable might relate to changes in another. Use a scatter plot to explore correlations in your data, like time spent vs. assessment score, or student FTE vs. faculty FTE by program.

1. Once you have your data results, open the Chart Builder (click the gear icon).
2. On the data tab, select the data you want to visualize:
   * X-axis = one numeric field (e.g., Time in LMS)
   * Y-axis = another numeric field (e.g., Assessment Score)
   * (Optional) Breakdown = group by (e.g., Cohort), which will change the shape of the scatter plot points
3. On the right, choose the Scatter Plot Graph icon from the chart type options. &#x20;
4. Additional optional steps to refine your chart:&#x20;
   1. Use the Data tab to apply filters to the chart
   2. Use the Data tab to adjust the aggregation of the series (Sum, Min, Max, Mean, etc.)
   3. Use the Customize tab to change the chart title, axis labels, legend, and tooltips
5. Click Save Chart to apply your changes.

1. Filter your data to reduce clutter if too many points overlap (for instance, filter on your breakdown field).
2. Choose data that is formatted correctly and which may have a relation
3. When interpreting results for correlation, remember that correlation does not imply causation.&#x20;

<summary><strong>KPI Chart</strong></summary>

**What is it and when to use it?**

* A KPI (Key Performance Indicator) or Scorecard Chart displays a single metric as a bold value. The KPI Chart should be used when you need a clear, concise visual representation of a specific data point, and is helpful for monitoring primary goals and indicators. Use it to highlight a key number, like total enrollments, average GPA, or percent completion.

**How to build it?**

1. Once you have your data results, open the Chart Builder (click the gear icon).
2. On the data tab, select the data you want to visualize:
   * Series = the numeric value to visualize over time (e.g., Count of Students)
   * KPI Charts support only 1 column selection
3. On the right, choose the Scatter Plot Graph icon from the chart type options. &#x20;
4. Click Save Chart to apply your changes.

**Best Practices**

1. Pair with contextual charts on a pinboard to provide supporting detail if needed.
2. Provide additional context with a Pinboard Text Widget to clarify any unclear details about the KPI.&#x20;

### 4. Troubleshooting Tips

* **Can’t access Chart Builder**? Make sure you have edit permissions for the pinboard or the query result.
* **Chart doesn’t look right**? Use the Data tab filters to simplify the dataset or adjust the aggregation method, or consider explaining your required change with the AI Assistant.&#x20;
* **AI Assistant not working as expected?** Try rephrasing your request with more specific instructions (e.g., “change y-axis title to...”). Some elements on the chart may not be editable, even by the AI Assistant.&#x20;


# Using Pinboards

Explore how to save, organize, and share your insights using customizable pinboards.

Doowii Pinboards allows you to save and organize your important queries and visualizations for quick access and easy reference.

### Saving a Pin <a href="#saving-a-pin-1" id="saving-a-pin-1"></a>

1. After receiving a query response, click on the dropdown menu above the data visualization.&#x20;
2. Select “Add to Pinboard”.
3. Choose to save to an existing Pinboard or select New Pinboard
   * When saving to a new Pinboard, follow the onscreen instructions to name your new Pinboard.
4. Responses saved to a Pinboard are automatically tagged with the Pinboard’s name, and are now pinned to the named Pinboard.
5. You may create any number of Pinboards. We recommended saving Pins with related data or purpose to the same Pinboard.&#x20;

### Accessing Pinboards <a href="#accessing-the-pinboard-3" id="accessing-the-pinboard-3"></a>

1. Click on the Pinboard icon in the main navigation menu on the left-hand side of the screen.
2. Browse through your list of pinboards to find and open the one you need.

### Managing Your Pinboards <a href="#managing-your-pinboards-5" id="managing-your-pinboards-5"></a>

1. In the Pinboard selection view, the Pinboard you wish to edit or delete.
2. Click on the options menu on the Pinboard card, next to the existing Pinboard name.
3. Select “Edit Name” or “Delete”, as needed.&#x20;
   * Note, a deleted Pinboard cannot be retrieved. Pins associated with the Pinboard will be removed, but the question and response will not be removed from your thread history.

### Managing Your Pins <a href="#managing-your-pins-7" id="managing-your-pins-7"></a>

1. Rename a Pin:
   * Within a Pinboard, locate the Pin you want to rename.
   * Click on the options menu on the Pin card, next to the Pin name.
   * Select Edit Pin Title.
   * Type the new name and then Save.
2. Expand Pin Details
   * Within a Pinboard, locate the Pin you want to review.
   * Click on the options menu on the Pin card, next to the Pin name.
   * Select Full Screen.
   * Review the Pin details, then close the pin by clicking on the X in the top right corner.
3. View the Pin Chat Thread
   * Within a Pinboard, locate the Pin you want to review.
   * Click on the options menu on the Pin card, next to the Pin name.
   * Select View Chat.
   * The page will be redirected to the Thread where the question and response are located.&#x20;
4. Download Pin Data:
   * Open the Pinboard containing the Pin you want to download.
   * Find the Pin and click on its options menu.
   * Choose Download data.
   * Pin data will be downloaded as a CSV file to your machine.&#x20;
5. Delete a Pin:
   * Open the Pinboard containing the Pin you want to delete.

# Exploring Available Data

Understand how to navigate and access the various data tables and sources integrated within your Doowii account.

Understanding the data available to you is crucial for effective analysis. We’ve upgraded the experience so you can get a clear picture of your data at a glance:

* **Left Sidebar: Dataset & Table Index**
  * Quickly scan all available data tables in your environment. Tables are listed and grouped logically to match your organization’s data structure.
* **Dataset View**
  * When viewing the Dataset details, the main panel includes a description of the dataset, and displays a visual representation of the included data tables.
* **Table Info Tab**
  * Click any table from the left sidebar to see its name, description, and schema.
  * Reviewing the schema layouts:
    * **Zoom In/Out**: Use your mouse wheel or trackpad to zoom in and out for detailed views.
    * **Pan Around**: Click and drag to navigate different parts of the schema.
    * **Table Relationships**: Primary and Foreign Keys are highlighted and links between tables are shown as dotted lines.
* **Schema Tab (Column Details)**
  * View column-level details like names, data types, and descriptions.
* **Preview Tab**
  * See the first 100 rows of any table, directly within the Explorer. This makes it easy to validate the data structure and confirm you’re exploring the right table.&#x20;
  * All data is filtered based on your account’s access permissions.


# Uploading Your Data to Doowii

Bring your own data into Doowii for faster exploration and insights.

* Upload your own dataset in CSV, Excel (.xls/.xlsx, single or multi-tab), or TSV format.
* Access your uploaded table at the top of your dataset list in Data Explorer.
* Query and visualize your data alongside Doowii’s built-in tools.
* Delete tables at any time if you no longer need them.

*Once satisfied, click the Upload button to confirm the data upload. It may take 5 to 10 minutes, depending on the file size, to complete the data processing steps to make your data available. Check the Data Explorer to confirm the upload status.*

### Limits and Restrictions

* **File size limit**: 50 MB per file.
* **File formats supported**: CSV (comma-delimited only), Excel (.xls/.xlsx), TSV.
* **Special characters**: Emojis and unusual symbols may not display correctly.
* **Joins**: Table joins are not supported in this version.
* **Data Refresh**: Uploaded data cannot be refreshed. To update the data, delete the table and upload a new file.
* **Table Access**: Uploaded tables are private to the user who uploaded them. They are not shared across your institution’s account. Admins can still share files across accounts using the [Knowledge Library](/top-resources/preferences), which is separate from Table Uploads.

### Managing Your Uploaded Tables

* **View data**: Open your table directly in Data Explorer to see raw data.
* **Delete a table**: Use the delete option if you uploaded test or incorrect data, or if the data has expired and is no longer needed. To delete a table:
  * Navigate to the Data Explorer
  * Select your Table,&#x20;
  * Click the **Delete** <i class="fa-trash">:trash:</i> button (top right corner below your user profile information)
  * Confirm deletion
* **Replace or Refresh data**: To update, simply upload a new file (the old table can be deleted).

### Troubleshooting

* **Upload fails immediately**: Check the file type (only CSV, Excel, TSV supported), delimiters (comma or tab only), and file size (50 MB max file size).&#x20;
* **Error**: **Duplicate Table Name**: Rename your table and try again.
* **Unexpected characters in data**: Avoid emojis or special characters.
* **File too large**: Keep under 50 MB (split files if necessary).

# Signing In & Password Reset

Guidance to access your account.

Accessing your Doowii account is simple and secure. Below are the steps for signing in and managing password resets.

#### **Signing In** <a href="#signing-in-1" id="signing-in-1"></a>

* Before you can sign in to Doowii, an account adminstrator must set up a profile for you. They enter the email you’ll use to sign in. If you didn’t get the welcome email from Doowii, they might be able to send it again.
* To sign in, go to your Doowii Account sign in page and enter your username and password.

#### **Password Reset Options** <a href="#password-reset-options-4" id="password-reset-options-4"></a>

* Users who need to reset their password may do so from either the Sign-in Page or the user profile page.&#x20;
  * Sign-in Page: On the sign-in page, select “Forgot Password?”. Enter your account email, and a password reset link will be sent to your inbox with instructions.
  * Profile Page: Navigate to your profile by clicking on your profile icon in the top-right corner of any page. Select Settings from the dropdown menu. Find the Send Reset Link button, and click it. A password reset link will be sent to your inbox with instructions.
* Administrator Reset:
  * Account Administrators can trigger a password reset for users, as needed. Administrators should access the Manage Users page in the application settings to trigger a password reset.
* Contact your administrator or Doowii if you require additional assistance with resetting your password.


# Inviting & Removing Users

Guidance for admins to add, update, & remove user accounts.

Your account administrators have the ability to invite new users to join your Doowii account. Follow the steps below to send an invitation.

#### How to Invite a New User <a href="#how-to-invite-a-new-user-1" id="how-to-invite-a-new-user-1"></a>

1. Navigate to your profile settings by clicking on your profile icon in the top-right corner of any page.
2. Select ***Manage Users*** from the dropdown menu.
3. Invite additional users by entering their email after clicking 'Invite'.
4. The invited user will receive an email with instructions to create their account.
5. They’ll be prompted to set up their password, first name, and last name upon account

When a new user is invited to access Doowii, their User Role must be set at the time of the inviitation. The User Role may be updated by a System Admin at a later time if needed in the ***Manage Users*** tab.

1. **Viewer**: Able to see any pinboard shared with their account.&#x20;
2. **Admin**: Able to ask data questions in Doowii, create and share pinboards, and update user account [preferences](/top-resources/preferences).&#x20;
3. **System Admin**: Able to ask data questions in Doowii, create and share pinboards, update user- and account-level [preferences](/top-resources/preferences), and manage users.&#x20;

1. Navigate to your profile settings by clicking on your profile icon in the top-right corner of any page.
2. Select Manage Users from the dropdown menu.
3. Identify the aser account to remove or delete, either by scrolling through the user list or searching for the user by name or email.
4. Once identified, click the trash can icon in the Actions area for the user.&#x20;

### 2. Using the Chart Builder

Once opened, the Chart Builder appears as a pop-up editing window. You’ll see:

<summary><strong>Bar Chart</strong> </summary>

**What is it and when to use it?**

* A bar chart displays data using rectangular bars to compare values across categories. Bar charts are best used for comparing discrete categories or groups, showing rankings,  illustrating frequency distributions, or otherwise visualizing non-continuous data. Use a bar chart to compare groups, such as the count of students by department or the average score by term.

**How to build it?**

1. Once you have your data results, open the Chart Builder (click the gear icon).
2. On the data tab, select the data you want to visualize:
   * Category = the grouping dimension (e.g., Department, Grade Level)
   * Breakdown (optional) = a second grouping (e.g., Gender)
   * Series = the numeric value (e.g., Average Score, Count of Students)
3. On the right, choose the Bar Chart icon from the chart type options.
4. Additional optional steps to refine your chart:&#x20;
   1. Use the Data tab to apply filters to the chart or apply a category order
   2. Use the Data tab to adjust the aggregation of the series (Sum, Min, Max, Mean, etc.).
   3. Use the Customize tab to change the chart title, axis labels, legend, and tooltips
5. Click Save Chart to apply your changes.

1. Limit the number of bars to increase readability–stick to 10 or fewer categories.&#x20;
2. Sort bars logically (ascending or descending order) to make comparisons easier.

<summary><strong>Pie Chart</strong></summary>

**What is it and when to use it?**

* A pie chart shows the parts of a whole, divided into slices. Pie charts are best used to visualize data where you want to show the proportions or percentages of parts within a whole, especially when the whole is divided into a small number of categories, and are helpful for highlighting which parts contribute the most to the total. Use a pie chart to show proportions, like how enrollment is distributed across programs.

**How to build it?**

1. Once you have your data results, open the Chart Builder (click the gear icon).
2. On the data tab, select the data you want to visualize:
   * Category = the grouping dimension (e.g., Department, Grade Level)
   * Series = the numeric value to summarize (e.g., Count of Students)
   * Pie Charts do not use a breakdown or multiple series — they’re best for single-category summaries
   * Note, Pie Charts represent data as percentages of the whole
3. On the right, choose the Pie Chart icon from the chart type options. &#x20;
4. Additional optional steps to refine your chart:&#x20;
   1. Use the Data tab to apply filters to the chart
   2. Use the Data tab to adjust the aggregation of the series (Sum, Min, Max, Mean, etc.)
   3. Use the Customize tab to change the chart title, axis labels, legend, tooltips, and Pie Chart specific configurations including the inner size (for donut chart), the start angle, and the end angle
5. Click Save Chart to apply your changes.

1. Use pie charts when showing parts of a whole—avoid if your values don’t (or shouldn't) add up to 100%.
2. Limit the number of slices to 3-5 to maintain clarity and readability.&#x20;

<summary><strong>Line Graph</strong></summary>

**What is it and when to use it?**

* A line graph connects points to show changes over time or continuous data. A line graph is best used to visualize data that changes over time, or with another continuous variable, and is effective for showing trends, comparing multiple data series, and highlighting changes in values over time. Use a line graph to visualize trends in your institution, such as student FTE growth or average student performance over time.

**How to build it?**

1. Once you have your data results, open the Chart Builder (click the gear icon).
2. On the data tab, select the data you want to visualize:
   * Category = the time-based dimension (e.g., months, terms, start dates, weeks, other date fields)
   * Breakdown (optional) = subgroups to be compared (e.g., schools, programs, etc.)
   * Series = the numeric value to visualize over time (e.g., Count of Students)
3. On the right, choose the Line Graph icon from the chart type options. &#x20;
4. Additional optional steps to refine your chart:&#x20;
   1. Use the Data tab to apply filters to the chart
   2. Use the Data tab to adjust the aggregation of the series (Sum, Min, Max, Mean, etc.)
   3. Use the Customize tab to change the chart title, axis labels, legend, and tooltips
5. Click Save Chart to apply your changes.

1. Use a time-based field for the x-axis to preserve and accurately represent the  flow of data.
2. Limit the number of breakdowns to 2-4 groups to keep trends clear.

<summary><strong>Scatter Plot</strong></summary>

**What is it and when to use it?**

* A scatter plot shows the relationship between two numeric variables. Scatter Plots help identify correlations (positive, negative, or none) and patterns in data between two variables. It's a good choice when you want to see how changes in one variable might relate to changes in another. Use a scatter plot to explore correlations in your data, like time spent vs. assessment score, or student FTE vs. faculty FTE by program.

**How to build it?**

1. Once you have your data results, open the Chart Builder (click the gear icon).
2. On the data tab, select the data you want to visualize:
   * X-axis = one numeric field (e.g., Time in LMS)
   * Y-axis = another numeric field (e.g., Assessment Score)
   * (Optional) Breakdown = group by (e.g., Cohort), which will change the shape of the scatter plot points
3. On the right, choose the Scatter Plot Graph icon from the chart type options. &#x20;
4. Additional optional steps to refine your chart:&#x20;
   1. Use the Data tab to apply filters to the chart
   2. Use the Data tab to adjust the aggregation of the series (Sum, Min, Max, Mean, etc.)
   3. Use the Customize tab to change the chart title, axis labels, legend, and tooltips
5. Click Save Chart to apply your changes.

1. Filter your data to reduce clutter if too many points overlap (for instance, filter on your breakdown field).
2. Choose data that is formatted correctly and which may have a relation
3. When interpreting results for correlation, remember that correlation does not imply causation.&#x20;

**What is it and when to use it?**

* A KPI (Key Performance Indicator) or Scorecard Chart displays a single metric as a bold value. The KPI Chart should be used when you need a clear, concise visual representation of a specific data point, and is helpful for monitoring primary goals and indicators. Use it to highlight a key number, like total enrollments, average GPA, or percent completion.

**How to build it?**

1. Once you have your data results, open the Chart Builder (click the gear icon).
2. On the data tab, select the data you want to visualize:
   * Series = the numeric value to visualize over time (e.g., Count of Students)
   * KPI Charts support only 1 column selection
3. On the right, choose the Scatter Plot Graph icon from the chart type options. &#x20;
4. Click Save Chart to apply your changes.

**Best Practices**

1. Pair with contextual charts on a pinboard to provide supporting detail if needed.
2. Provide additional context with a Pinboard Text Widget to clarify any unclear details about the KPI.&#x20;

### 4. Troubleshooting Tips

* **Can’t access Chart Builder**? Make sure you have edit permissions for the pinboard or the query result.
* **Chart doesn’t look right**? Use the Data tab filters to simplify the dataset or adjust the aggregation method, or consider explaining your required change with the AI Assistant.&#x20;
* **AI Assistant not working as expected?** Try rephrasing your request with more specific instructions (e.g., “change y-axis title to...”). Some elements on the chart may not be editable, even by the AI Assistant.&#x20;


# Using Pinboards

Explore how to save, organize, and share your insights using customizable pinboards.

Doowii Pinboards allows you to save and organize your important queries and visualizations for quick access and easy reference.

### Saving a Pin <a href="#saving-a-pin-1" id="saving-a-pin-1"></a>

1. After receiving a query response, click on the dropdown menu above the data visualization.&#x20;
2. Select “Add to Pinboard”.
3. Choose to save to an existing Pinboard or select New Pinboard
   * When saving to a new Pinboard, follow the onscreen instructions to name your new Pinboard.
4. Responses saved to a Pinboard are automatically tagged with the Pinboard’s name, and are now pinned to the named Pinboard.
5. You may create any number of Pinboards. We recommended saving Pins with related data or purpose to the same Pinboard.&#x20;

### Accessing Pinboards <a href="#accessing-the-pinboard-3" id="accessing-the-pinboard-3"></a>

1. Click on the Pinboard icon in the main navigation menu on the left-hand side of the screen.
2. Browse through your list of pinboards to find and open the one you need.

Managing Your Pinboards

1. In the Pinboard selection view, the Pinboard you wish to edit or delete.
2. Click on the options menu on the Pinboard card, next to the existing Pinboard name.
3. Select “Edit Name” or “Delete”, as needed.&#x20;
   * Note, a deleted Pinboard cannot be retrieved. Pins associated with the Pinboard will be removed, but the question and response will not be removed from your thread history.

### Managing Your Pins <a href="#managing-your-pins-7" id="managing-your-pins-7"></a>

1. Rename a Pin:
   * Within a Pinboard, locate the Pin you want to rename.
   * Click on the options menu on the Pin card, next to the Pin name.
   * Select Edit Pin Title.
   * Type the new name and then Save.
2. Expand Pin Details
   * Within a Pinboard, locate the Pin you want to review.
   * Click on the options menu on the Pin card, next to the Pin name.
   * Select Full Screen.
   * Review the Pin details, then close the pin by clicking on the X in the top right corner.
3. View the Pin Chat Thread
   * Within a Pinboard, locate the Pin you want to review.
   * Click on the options menu on the Pin card, next to the Pin name.
   * Select View Chat.
   * The page will be redirected to the Thread where the question and response are located.&#x20;
4. Download Pin Data:
   * Open the Pinboard containing the Pin you want to download.
   * Find the Pin and click on its options menu.
   * Choose Download data.
   * Pin data will be downloaded as a CSV file to your machine.&#x20;
5. Delete a Pin:
   * Open the Pinboard containing the Pin you want to delete.
   * Find the Pin and click on its options menu.
   * Choose Delete to remove it. Note, a deleted Pin will not delete the question and response from your thread history.&#x20;
6. Edit a Pin Visualization
   * Open the Pinboard containing the Pin you want to delete.
   * Find the Pin
   * You can edit the pin visualization by clicking on the chart buttons, or modifying it further in the Full Screen view.

### Org-Wide Pinboard Sharing

You can now share Pinboards with your entire organization in just a few clicks, making it easier to distribute insights and collaborate at scale.

When sharing a pinboard, you’ll see a new “Organization Access” option:

* **View access**: All users in your organization can view the pinboard, but only you (and specific collaborators you’ve added) can make edits.
* **Edit access**: All users in your organization can both view and edit the pinboard.

This is especially useful for teams working on shared dashboards, recurring reports, or live data reviews. Organization access can be adjusted at any time from the Share settings on any pinboard.

Charts are your tools to the the story, while tables help you better inspect and understand the details of your data. And remember, you can always start in one and switch to the other as needed.

### How Doowii Decides When to Auto-visualize

When you ask a question, **Doowii evaluates the structure of your result and automatically chooses a chart type** if:

* The result includes grouped categories and a numeric column
* The data is well-suited for common visualizations (like bar or line charts)
* The number of rows and columns is manageable for a chart

If these conditions are met, a chart will appear by default, along with icons to switch to other formats. If not, Doowii will default to showing the full table.

Regardless of how Doowii responds, you can change to the visualization to a different chart type or back to the table view.&#x20;

### How to toggle between table view and quick charts

At the top of your result, you’ll see a row of icons that let you switch views. These include:

* A table icon to return to the full data view

Click any icon to instantly update the view. These quick charts use your existing query result. If you want more control, or a different chart type, click the [Advanced Chart Builder](/top-resources/advanced-charts-and-visualizations-builder) icon to open the full visualization editor.


# Quick Charts Overview

Quick Charts let you instantly visualize your data.

Doowii makes it easy and quick to access and understand your data. Creating charts and visualizations is just as easy with Doowii's Quick Charts.&#x20;

### Where to Find the Quick Chart Icons

After you run a query, Quick Chart icons appear at the top of the result panel, just above your data. If the data support the visualization, these icons let you toggle between:

* Table view
* Bar chart
* Line chart
* Pie chart
* Donut chart
* Scatterplot
* Bubble chart

In some cases, the data returned does not support a particular data visualization (for instance, a scatterplot requires two columns of numerical data), and the icon will be grayed out. Click any active icon to switch the view instantly.

### Overview of Quick Chart types

1. Bar Chart: Compare values across categories. Best for showing differences between groups (e.g., number of students by school).

### When to Switch to the Advanced Chart Builder

Use the [Advanced Chart Builder](/top-resources/advanced-charts-and-visualizations-builder) when you want to:

* Choose your own category, series, or breakdown fields
* Apply filters or change aggregations (sum, avg, etc.)
* Use a chart type not available in Quick Charts
* Customize the appearance (titles, colors, axes, tooltips, etc.)

Quick Charts are a starting point. If the visual isn’t telling the story you need, or if you want to refine it, the Chart Builder gives you full control.

**Avoid misleading visuals**

A good chart tells a clear story. Keep these fundamentals in mind to ensure your visuals are accurate and helpful:

1. **Keep it simple**: Too much data in one chart can overwhelm or obscure the message for audience. Focus on the most important values or categories, and use filters to narrow down your dataset.
2. **Limit the number of categories:** Whether you’re using bars, slices, lines, or points, more than 8–10 categories is often too many. Prioritize key segments or group smaller ones into an “Other” category if needed.
3. **Use consistent, clear labeling**: Always label your axes and legends. Avoid abbreviations unless they’re well-known to your audience. Add a title and subtitle to help explain the context at a glance.
4. **Start axes at zero when appropriate:** Starting an axis at a value other than zero can exaggerate differences and distort trends. Use caution, especially with bar and line charts, and make intentional choices based on what you’re trying to convey.
5. **Match chart type to your data**: Some data isn’t meant to be visualized as a pie or scatterplot. Choose a format that supports your story.<br>

# Getting Started with the Advanced Chart Builder

### How to launch the Advanced Chart Builder

You can open the Advanced Chart Builder from two places:

**From a Question Thread**

1. Ask a question and review the result.
2. Click the Advanced Chart Builder button above the data result.
3. The builder opens as a modal window.&#x20;

**From a Pin**

1. Open a pinboard where you have edit access.
2. Select the Pinned chart or table you want to update.
3. Click the Advanced Chart Builder button above the data result.

### Understanding the layout

The Advanced Chart Builder is split into two main panels, with a resizable divider between them:

This panel displays your query result as a data table. Here’s what you can do on this side:

* **Reorder columns** by dragging
* **Group rows** by dragging a column into the row group area
* **Sort columns** by clicking the headers
* **Filter columns** using in-column filters
* **Pin, resize, or reset columns** via column menus
* Understand the quantity (number of rows) of data available from the results

You’ll also find two important tabs at the top right of this panel:

* **Columns Tab:**
  * Show/hide columns
  * Set row groups
  * Evaluate aggregations and summative values
* **Filters Tab:**
  * Apply or adjust filters across any columns
  * Focus the dataset for more targeted insights

Use this panel to shape the structure of your data before visualizing it.

This panel displays your chart, updating live as you make changes. You can drag the vertical slider between the two panels to adjust the space allocated to the table or chart panels as needed.

On the far right edge of this panel is a narrow sidebar with three tabs:

* **Setup Tab**:

  Define the chart’s category and series, and choose how values are aggregated (sum, count, avg, etc.). You can also swap category and series fields to change the chart layout.
* **Chart Tab**:

  Select the chart type (bar, line, pie, scatter, polar, etc.). Available options depend on your dataset’s structure.
* **Customize Tab**:

  Adjust axes, series styling, legend position, tooltips, titles, and overall chart layout and padding.

Before you choose a chart type or customize its appearance, you need to select the data it will visualize. Ensure the [question](/getting-started/quickstart/asking-your-first-question) you've asked returned the expected data, and that the data can be visualized to help you tell the story you want to tell.&#x20;

#### Select the columns to visualize

Use the left panel to review the available data columns. Use the **Set Up** tab in the right panel to choose which columns appear in your dataset. Choose your **Category** to define how the data is grouped (e.g., by department, term, program, etc.). Then add one or more **Series** to visualize numeric values.

You can reorder, hide, or group columns, and summarize values like totals or averages to shape what your chart will use.

### **Reorder, select, or hide columns**

* Reorder columns by dragging them left or right in the table.
* Select or hide columns using the Columns tab in the upper-left. Hidden columns are excluded from both the table and the chart.
* To reset a column, click the column menu (three-dot icon) and choose Reset Column.

### **Group and summarize your data**

* Use row groups to organize your data **in the table view**, which  helps you explore patterns or compare values before deciding what to visualize.&#x20;
* In the Columns tab, you can drag a field into the Row Groups section to group your dataset by that column (e.g., group students by grade level or program). The table will collapse into grouped sections, with expandable rows.
* You’ll also see summary values at the bottom of each group (e.g., total students, average GPA). These summaries are especially helpful for spotting trends in large datasets.

**When to use Row Groups**

* Row Groups are effective at organizing, summarizing, and analyzing large datasets more effectively by creating hierarchical views of their data.
* **Understanding Hierarchical Data**: When data naturally has a parent-child or categorical relationship, row grouping allows users to visualize this hierarchy.
  * For example, a course designer reviewing their LMS data could group learning activities by Module, then by Lesson, then by Activity Type to visualize the course structure and progression.
* **Summarization and Aggregation**: A primary reason to use row grouping is to see summary information for each group, especially in the table view. Doowii can automatically calculate aggregates (like sum, average, min, max, count) for numeric columns within each group.
  * For example, grouping attendance records by Month, then by Student, to see the total number of absences for each student per month
* **Data Exploration and Drill-Down**: Users can collapse and expand groups, allowing them to start with a high-level overview and then drill down into specific details as needed.&#x20;
  * For example, an educator might see a low average score for a particular Assignment Type within a Subject when grouped. They can then expand that group to see individual student scores and identify which students struggled.

### Understanding what’s included in the chart

Not all columns in the table are automatically included in your chart. In the **Set Up** tab on the right side of the builder, you explicitly choose:

* **A Category**: This is your grouping dimension (e.g., by term, by school, by program).
* **One or more Series**: These are the numeric values you want to visualize (e.g., total enrollments, average score).

The chart preview reflects only these selected fields.

Use the left panel to explore, filter, and shape the dataset, but use the **Set Up** tab to define what’s actually visualized. Fields that aren’t assigned to category or series will not appear in the chart, even if they’re visible in the table.

Filters narrow your dataset to show only what’s relevant for your chart.

# Defining Categories and Series

### Defining Categories and Series

In the **Set Up** tab of the **Advanced Chart Builder**, your chart is built by selecting:

1. **A Category**: the dimension you want to group by (e.g., grade level, program, term)
2. **One or more Series**: the numeric fields you want to summarize and visualize (e.g., average GPA, total enrollment, number of logins)

Together, these selections define what’s shown in the chart preview on the right.

#### Choosing categories and series

* **Category**: Think of this as the “x-axis” for bar, column, or line charts, or the grouping label in charts like pie or donut.
  * Common examples: Department, Grade Level, Term, Student Status, Demographic Identifier
* **Series**: These are the numeric values summarized within each category, or what’s being measured or compared.
  * Common examples: Count of Students, Average Score, Total Credits Earned

### Series Aggregation options

When you choose a series field, you can apply an aggregation to determine how the values are summarized. Available options include:

* **Sum**: Total of all values (e.g., total credits attempted by program)
* **Average (Mean)**: Average value (e.g., average GPA by term)
* **Min / Max**: Lowest or highest value in the group
* **Count**: Number of records (e.g., number of students in each grade level)
* **First / Last**: The first or last value in the group, based on row order

Use the aggregation dropdown in the **Set Up** tab to adjust these settings as needed.

### Swapping category and series

You can click “Switch Category and Series” in the Setup tab to flip how your data is visualized. This is especially useful when your chart doesn’t look quite right, or when a different framing tells a clearer story.

**Why it swapping the category and series may be helpful:**

* **Change the focus of the analysis**: Shift from looking at individual records or row-wise summaries to a columnar comparison of aggregated values.
* **Compare categories side-by-side**: Easily see how different categories perform against a common measure, eliminating the need to scroll through long lists.
* **Identify trends across different segments**: Observe patterns and variations across distinct groups of data.

**Common examples where swapping category and series may helpful:**

1. **Analyzing Student Performance Across Different Subjects**: An educator wants to quickly compare each student's average grade across different subjects, rather than seeing each individual grade entry. Depending on the data, swapping from a detailed view to a grouped view may show how a student is generally performing.&#x20;
2. **Comparing Enrollment in Different Course Types Over Time**: An administrator wants to see the total enrollment for "Required" versus "Elective" courses for each year, rather than a list of individual courses. Dependent on the data structure, a swap may result in the new view clearly showing the year-over-year trends for each course type.

# Customize Your Chart

Learn how to use the Customize tab of the Advanced Chart Builder.

The Customize tab in the Advanced Chart Builder gives you fine-grained control over the appearance of your chart. Use this tab to adjust how your data is labeled, styled, and displayed so your visual tells a clear, compelling story.

### Adding a title to your chart and X & Y axis

Clarify your chart’s purpose at a glance.

* Add a main title and optional subtitle
  * Titles can summarize the insight (e.g., “Average GPA by Department”)
  * Subtitles can include filters, date ranges, or other context
* Add context for the Horizontal (X) and Vertical (Y) axis

### Legend controls

The legend helps viewers understand what each color or line represents.

* Toggle legend on/off
* Set position: Top, bottom, left, or right of the chart
* Wrap or truncate labels to prevent overflow on small charts

### Series formatting

Customize how each data series is displayed:

* **Opacity**: Adjust transparency to reveal overlapping data.

These settings help emphasize the story you’re telling—whether it’s a trend over time or a category comparison.

**Tooltip customization**

Tooltips appear when you hover over data points. You can:

* Turn tooltips on or off
* Adjust what’s displayed in the tooltip (e.g., raw value, label, percentage)

Well-crafted tooltips give your viewers context without crowding the chart.

### X & Y axis controls

Adjust the chart’s horizontal and vertical axes for readability and accuracy.

**Axis Positioning**

* Set axis position (e.g., left or right for vertical, top or bottom for horizontal)

**Axis Line Styling**

* Change the axis line color
* Adjust the line thickness
* Customize the line dash style (solid, dashed, etc.)

**Grid Line Controls**

* Show or hide grid lines for horizontal or vertical axes
* Adjust the grid line color
* Set grid line thickness
* Modify the grid line dash pattern

**Ticks**

* Enable or disable tick marks along the axis

**Axis Labels**

* Font family (choose from available options)
* Font weight (normal, bold, etc.)
* Font size
* Font color
* Label padding (distance from axis line)
* Label rotation (rotate text to prevent overlap or improve readability)

# Saving or Canceling Your Chart Edits

### Saving or Canceling Your Chart

After customizing your chart in the Advanced Chart Builder, you can either save your changes or cancel to discard them.

#### What happens when you save

* Your chart is updated with all current settings (category, series, filters, style, etc.).
* If editing from a thread, the chart saves in place for future reference.
* If editing from a Pinboard, the saved chart is updated on your Pin.
* Once saved, changes cannot be automatically reverted, but you can manually make additional changes to the pin to meet your needs.&#x20;

#### How to discard and revert changes

* Click Cancel at the bottom of the builder to exit without saving.
* Any changes and edits made during the session will be discarded and the chart will revert to its last saved version.

# Pivot Mode (Chart Breakdowns)

Rearrange and compare your data with flexible pivoted views in Doowii.

Doowii’s  Pivot Mode gives you more control over how data is grouped and compared in your visualizations, without needing to rewrite your query. Pivot Mode, accessed in the Advance Chart Builder, allows you to transform flat data into multi-dimensional breakdowns that reveal deeper insights.

#### What You Can Do with Pivot Mode

* Dynamically pivot rows into columns
* Compare multiple measures across categories
* Create custom cross-tab views directly within your chart

* Blank Chart? Make sure you’ve selected at least one group, one pivot, and one value field. All three are required.
* Unexpected totals? Check your aggregation method in the Values section.
* Duplicate values or missing columns? Review the Pivot Column field—avoid using IDs or unique values.
* Too many columns? Use filters in the “Data” tab to narrow the dataset before applying Pivot Mode.
* Confusing layout? Try removing one group or pivot field to simplify the view, then rebuild.

# Table Row Grouping

Group rows in the table view to organize your data by category and view summary values.

* Use row groups to organize your data **in the table view**, which  helps you explore patterns or compare values before deciding what to visualize.&#x20;
* In the Columns tab, you can drag a field into the Row Groups section to group your dataset by that column (e.g., group students by grade level or program). The table will collapse into grouped sections, with expandable rows.
* You’ll also see summary values at the bottom of each group (e.g., total students, average GPA). These summaries are especially helpful for spotting trends in large datasets.

* **Understanding Hierarchical Data**: When data naturally has a parent-child or categorical relationship, row grouping allows users to visualize this hierarchy.
  * For example, a course designer reviewing their LMS data could group learning activities by Module, then by Lesson, then by Activity Type to visualize the course structure and progression.
* **Summarization and Aggregation**: A primary reason to use row grouping is to see summary information for each group, especially in the table view. Doowii can automatically calculate aggregates (like sum, average, min, max, count) for numeric columns within each group.
  * For example, grouping attendance records by Month, then by Student, to see the total number of absences for each student per month
* **Data Exploration and Drill-Down**: Users can collapse and expand groups, allowing them to start with a high-level overview and then drill down into specific details as needed.&#x20;
  * For example, an educator might see a low average score for a particular Assignment Type within a Subject when grouped. They can then expand that group to see individual student scores and identify which students struggled.

### **Controlling the Order of Row Groups**

* After creating 2 or more row groups, you can drag on of your Row Groups higher or lower in the list of Row Groups which will also change the table preview.&#x20;

This guide explains how your Google Workspace Administrator can securely grant Doowii access following Google’s recommended practices for delegated access to Classroom APIs.

Doowii integrates with Google Workspace for Education to ingest Google Classroom data (including coursework, course rosters, assignments, submissions, and materials) so your organization can analyze teaching and learning workflows in one place.

## 3. Step-by-Step Setup Instructions

### Step 1 — Customer Org: Verify API Access Is Enabled in Google Admin Console

1. Go to Admin Console → Security → API Controls
2. Ensure “Enable API access” is checked
3. Confirm that the Organization allows third-party app integrations
   * (This is default for most EDU tenants.)

### Step 2 — Doowii: Provide Service Account Client ID

Doowii provides your organization with:

* The GCP service account email
* The unique OAuth 2.0 Client ID associated with the service account

You will use these in Step 3.

### Step 3 — Customer Org: Grant Domain-Wide [Delegation](https://developers.google.com/admin-sdk/directory/v1/guides/delegation) to the Doowii Service Account

1. In the Google Admin Console:

   Security → API Controls → Domain-wide delegation
2. Click Add new.
3. Enter the Client ID provided by Doowii.
4. Add the required OAuth scopes (comma-separated).

4. If not, click Enable APIs and Services → Classroom API → Enable.

### Step 5 — Doowii: Validate Access and Begin Initial Sync

Doowii completes:

* Token validation
* Scope confirmation
* Classroom → SIS roster alignment
* Initial metadata sync

Salesforce access is always granted from within your Salesforce org by creating and approving a Connected App. Doowii operates the integration in Google Cloud, but Salesforce authorization, scope, and permissions remain fully under your control.

## 3. Step-by-Step Setup Instructions

#### Step 1: Create a Salesforce Integration User

Create a dedicated user for Doowii (not a personal admin account).

1. Check License Availability:
   * Navigate to Setup > Company Information.
   * Look for details about Salesforce Integration user licenses.
2. Create the User:
   * Go to Setup > Users > Users and click New User.
   * User License: Select Salesforce Integration.
   * Profile: Select Salesforce API Only System Integrations.
   * Username: Choose username following this format: **doowii.integration@\[**<mark style="color:purple;">**yourorg.edu**</mark>**]**

**Why this matters:**

* Clear audit trail
* Least-privilege security
* Stable long-term integration

#### Step 2: Create a Permission Set for Doowii

1. Go to Setup → Permission Sets → New
   * Name: Doowii Integration User Access
2. Grant:
   * Read access to approved objects (e.g., Account, Contact, Opportunity, custom objects)
   * Field-level visibility only for approved fields
   * Record visibility via your existing sharing rules
3. Assign this permission set to the integration user.
4. Note, you may also need to click Edit Assignments and enable the Salesforce API Integration license.

#### Step 3: Create an OAuth Client App in Salesforce

Salesforce [recommends](https://help.salesforce.com/s/articleView?id=xcloud.connected_app_create_basics.htm\&type=5) [External Client Apps](https://help.salesforce.com/s/articleView?id=xcloud.create_a_local_external_client_app.htm\&type=5) for new OAuth integrations. If your org still supports Connected Apps, you may use either option, as both are fully compatible with Doowii’s Salesforce integration.

**Step 3A: External Client App (recommended)**

1. Navigate to Setup, enter App Manager, and select App Manager
2. Click New External Client App
3. Enter a name for the external Client App: Doowii Integration
4. Set the Distribution State to Local
5. Enable OAuth 2.0 Authorization Code flow
6. Enter the Doowii callback URL *(Provided by Doowii during onboarding)*
7. Select scopes (api, refresh\_token)
8. Save and request admin approval

**Step 3B: Connected App (if already enabled)**

1. Navigate to Setup, enter App Manager, and select App Manager
2. Click New Connected App
3. Enable OAuth
4. Enter the Doowii callback URL (Provided by Doowii during onboarding)
5. Select scopes (api, refresh\_token)
6. Save and approve

Note, it may take up to 10 minutes for a new OAuth Client App to propagate through Salesforce's servers, and up to 15 minutes for changes to app and access settings to take effect.

#### Step 4: Approve and Install the Connected App

Salesforce requires explicit approval before an app can issue tokens.

1. Navigate to Setup > Connected Apps OAuth Usage.
2. Find \[The New App] in the list
3. In the Action column, click Install (if it says "Uninstall" it is already installed)
4. Review the information and click Install
5. Approve OAuth Policies by going to Setup > Manage Connected Apps > \[The New App] > Edit Policies
6. Select "Admin approved users are pre-authorized" in the Profiles or Permission Sets detail page&#x20;
7. Save

* Permitted Users: *Admin approved users are pre-authorized*
* Assign access via a Permission Sets

Share the application details with Doowii.&#x20;

* Salesforce login URL (this should be your Production URL)
* Connected App Consumer Key

* Integration User username

Once shared, Doowii will:

1. Complete the OAuth authorization flow
2. Exchange the authorization code for access + refresh tokens
3. Validate object and field access

#### Data Freshness & Refresh Cadence

Doowii supports multiple refresh patterns, depending on your needs. The standard refresh patter is nightly, unless otherwise agreed upon.&#x20;
